How ParkCore works for the parks that run on it, and for the guests and owners who use it.

How this page is organised

ParkCore has two distinct kinds of user, and the terms below apply differently to each. Where a clause applies to only one group, it says so explicitly.

Business Customers

The holiday parks, caravan sites, and similar businesses that subscribe to ParkCore to run bookings, CRM, maintenance, and housekeeping.

End Users

The individual guests and park-home owners who interact with ParkCore directly — for example through the Owner Portal or booking confirmations.

Terms & Conditions

1.1 Who we are

ParkCore is operated by Angstep Ltd, trading as ParkCore ("ParkCore", "we", "us", "our"), a Limited Company based in Wales, United Kingdom. Contact: contact email or 01745 472427. These Terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction over any dispute, unless you're a consumer resident elsewhere in the UK with different local protections that can't be excluded.

1.2 What ParkCore is

ParkCore is a software-as-a-service platform for holiday park and caravan site operators, providing booking and calendar management, activity management, sales and customer CRM, an owner portal, maintenance job tracking, housekeeping scheduling, and related administrative tools ("the Service").

1.3 Accounts

Business Customers register an organisation account and are responsible for all activity under it, including staff accounts they create, keeping login credentials secure, and ensuring the information they provide is accurate and kept up to date.

End Users (guests and owners) may be given access to a portal account by a Business Customer, for example to view bookings, invoices, or account details. Your End User account is provided to you via the park you're a guest or owner of — ParkCore doesn't independently vet or select who is given access; that's the Business Customer's responsibility.

You must be at least 18 to hold a ParkCore account. Accounts are for the named individual or organisation only and may not be transferred without our consent.

1.4 Subscriptions, fees & payment (Business Customers)

Access to the Service for Business Customers is provided on a subscription basis, at the pricing and billing frequency agreed at signup or set out in your order confirmation. Fees are exclusive of VAT unless stated otherwise. We may change subscription pricing with at least 30 days' notice before it takes effect on your next billing cycle. Late or failed payments may result in suspension of access until resolved.

End Users are not charged directly by ParkCore for use of the portal; any charges for park services, pitch fees, or bookings are between you and the park, not ParkCore.

1.5 Your responsibilities

Business Customers are responsible for:

  • the accuracy of data they enter or import into ParkCore (guest details, bookings, invoices, etc.);
  • obtaining any consents needed from their own guests and owners to process that data (see the Data Processing section below);
  • their staff's compliance with these Terms and the Acceptable Use Policy; and
  • their own compliance with laws applicable to their business (consumer protection, site licensing, tax, etc.) — ParkCore is a software tool, not a substitute for that compliance.

End Users are responsible for keeping their own login details secure and for the accuracy of information they submit through the portal.

1.6 Data processing relationship

For guest, booking, owner, and similar data that a Business Customer enters into ParkCore, the Business Customer is the data controller and ParkCore acts as data processor, processing that data only on the Business Customer's instructions and as described in our Privacy Policy below and any Data Processing Agreement in place between us. For data about the Business Customer's own account and for direct communications ParkCore sends to End Users on its own behalf (not on a park's behalf), ParkCore is the data controller.

1.7 Intellectual property

ParkCore and its underlying software, design, and documentation remain our property (or that of our licensors). Business Customers and End Users are granted a limited, non-exclusive, non-transferable licence to use the Service for its intended purpose for as long as their account is active. You retain ownership of the data you input into ParkCore.

1.8 Service availability

We aim to keep the Service available and reliable but don't guarantee uninterrupted access. We may carry out planned maintenance, and we'll try to give reasonable notice for anything likely to cause significant downtime. We are not liable for outages caused by third-party infrastructure providers, internet connectivity, or events outside our reasonable control.

1.9 Limitation of liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or anything else that can't lawfully be limited. Subject to that, ParkCore's total liability to a Business Customer arising out of or in connection with the Service is limited to the fees paid by that Business Customer in the 12 months preceding the claim. We are not liable for indirect or consequential losses, including loss of profits, business, or data, to the extent permitted by law.

Because ParkCore currently trades as a Limted Company it and its "Trading As" names have the liability protection a limited company would — limited liability means the company is a separate legal person, so the shareholders’ financial exposure is usually limited to the amount they invested in the company, plus any unpaid amount on their shares if applicable. For a limited company, this means creditors normally can claim against the company’s assets, not the owners’ personal assets, unless there is a special exception such as personal guarantees or veil-piercing for misconduct..

1.10 Suspension & termination

We may suspend or terminate an account for breach of these Terms or the Acceptable Use Policy, non-payment, or where required by law, generally with notice unless the situation requires immediate action (for example, a security threat). Business Customers may cancel their subscription per the notice period set out at signup. On termination, we'll provide a reasonable window to export your data before deletion, except where we're required to delete it sooner.

1.11 Changes to these Terms

We may update these Terms from time to time. We'll give Business Customers reasonable notice of material changes (for example, by email or in-app notice) before they take effect.

Privacy Policy

2.1 Who this applies to and our role

This Privacy Policy explains how ParkCore handles personal data for:

  • Business Customers — park staff and administrators who hold ParkCore accounts (we are the data controller for this account data); and
  • End Users — guests and owners whose data is entered into ParkCore by a park (we act as data processor on the park's instructions for this data, and as data controller only for communications we send in our own capacity, such as service updates about the portal itself).

If you're a guest or owner and have questions about how your data is used by a specific park, your park is the right first point of contact, since they control that data; we're happy to help where we can, but legally the park is usually the controller.

2.2 What we collect

From Business Customers: name, email, job role, business name and address, billing details, and usage data about how the Service is used.

From or about End Users (entered by the Business Customer, or provided directly through the portal): name, contact details, booking and stay history, pitch/ownership details, invoice and payment reference data (we do not store full card numbers — payment card data is handled by our payment processing partners), and communications sent via the CRM/campaign features.

Automatically: standard technical data such as IP address, browser type, and usage logs, for security and service-improvement purposes.

2.3 Why we process it (legal basis)

  • Performance of a contract — running the Service for Business Customers; giving End Users access to portal features a park has enabled for them.
  • Legitimate interests — keeping the Service secure, improving it, and internal analytics, balanced against your rights.
  • Consent — for marketing communications sent by a park through ParkCore's CRM tools (obtained by the park), and for any direct marketing we send ourselves.
  • Legal obligation — where we need to retain or disclose data to comply with the law (e.g. tax records).

2.4 Who we share it with

We share data with third-party providers who help us run the Service, including hosting infrastructure providers, our accounting-software integration (where a park connects one, e.g. Sage), and payment processing partners (for card payments taken through ParkCore). Each of these processes data under its own agreement with us and only to the extent needed to provide their part of the Service. We do not sell personal data.

Some of our infrastructure providers may process or store data outside the UK/EEA. Where that happens, we rely on appropriate safeguards (such as the UK's International Data Transfer Agreement or adequacy regulations) — full details available on request.

2.5 How long we keep it

We retain Business Customer account data for the life of the subscription plus a reasonable period afterward for legal and accounting purposes. Guest/owner data entered by a park is retained per that park's instructions and deleted or returned on request or on contract termination, save for anything we're legally required to keep longer.

2.6 Security

We apply reasonable technical and organisational measures to protect personal data, including access controls, encryption of data in transit, and restricted internal access to production systems. No system is perfectly secure, and we'd encourage Business Customers to use strong, unique passwords and enable any available account security features.

2.7 Your rights

Under UK GDPR, individuals have the right to access, correct, delete, restrict, or port their personal data, and to object to certain processing (including direct marketing, at any time and free of charge). To exercise these rights, contact contact email or call 01745 472427. If your data was entered by a park rather than provided by you directly, we may need to direct your request to that park where they're the controller, but we'll help route it correctly. You also have the right to complain to the UK Information Commissioner's Office (ico.org.uk).

2.8 Cookies

The ParkCore portal uses essential cookies needed for login and core functionality, and may use limited analytics cookies to understand usage.

2.9 Children

ParkCore's own accounts are not intended for anyone under 18. Where a park stores information about children as part of a booking (for example, in a party size), that information is provided and controlled by the adult who made the booking, not collected directly from children by ParkCore.

2.10 Changes to this policy

We'll update the "last updated" date at the top of this page when this policy changes, and notify Business Customers of material changes.

Acceptable Use Policy

This AUP applies to everyone who accesses ParkCore — Business Customer staff and End Users alike. It exists to keep the Service safe, lawful, and reliable for everyone using it.

3.1 You must not

  • use the Service for any unlawful purpose, or to store or transmit content that is defamatory, harassing, obscene, or infringes someone else's rights;
  • attempt to gain unauthorised access to any account, data, or system, or to circumvent authentication, rate limits, or other security controls;
  • probe, scan, or test the vulnerability of the Service, or interfere with its normal operation (including via excessive automated requests, scraping, or denial-of-service-style behaviour);
  • upload or introduce malware, or any code designed to damage or disrupt the Service or other users' systems;
  • reverse-engineer, decompile, or attempt to extract the source code of the Service, except where the law gives you an unwaivable right to do so;
  • use guest, owner, or other End User personal data for any purpose outside providing the Service or running the park's own legitimate business — including selling it, or using CRM/campaign tools to send unsolicited or unlawful marketing (e.g. in breach of PECR/UK marketing consent rules);
  • misrepresent your identity or your authority to act on behalf of a Business Customer; or
  • resell or sublicense access to the Service without our written agreement.

3.2 Business Customer responsibility for their users

Business Customers are responsible for their staff's and, to a reasonable extent, their End Users' compliance with this AUP where the Business Customer controls that access (for example, staff accounts). Business Customers should have a route to report and act on misuse they become aware of.

3.3 Enforcement

Breach of this AUP may result in a warning, suspension, or termination of access, depending on severity, and we may take action immediately without prior notice where there's a security risk or ongoing harm. We may also be required to report certain unlawful activity (e.g. involving child safety) to the relevant authorities.
